TERMS AND CONDITIONS | REFUND AND WITHDRAWAL POLICY

1. TERMS OF AGREEMENT

Compliance: You agree to abide by the Academy's Student Handbook and all existing policies.

Accuracy: You certify that all information provided in your application and enrollment forms is true and correct. Any false statement may be grounds for denial of admission or expulsion.

Severability: If any provision of these Terms is found invalid by a court of law, the remaining provisions shall continue in full force.

By signing below, I signify that I have read and understood the Qualitech Maritime Academy Privacy Policy and Terms of Agreement and give my consent to the processing of my personal data.

 

2. General Principles

Qualitech Maritime Academy (the "Academy") adheres to the standard refund schedules mandated by the Manual of Regulations for Private Higher Education. All refund requests must be submitted in writing to the Registrar’s Office and are subject to the following timelines and conditions. 

 

3. Refund Schedule

Refunds are calculated based on the date of the official written withdrawal, regardless of whether the student actually attended classes. 

 

  • Before the Start of Classes: 100% refund of tuition and miscellaneous fees, minus a reasonable administrative/processing fee.

  • Within the 1st Week of Classes: 90% refund of the total amount due for the term (the Academy retains 10%).

  • Within the 2nd Week of Classes: 80% refund of the total amount due for the term (the Academy retains 20%).

  • After the 2nd Week of Classes: No refund will be issued. The student is liable for the full school fees for the entire semester/term. 

4. Non-Refundable Fees

The following fees are strictly non-refundable once paid or processed: 

  • Admission/Application Fees: These cover the administrative cost of processing the application.

  • Registration/Reservation Fees: If used to secure a slot, these are typically non-refundable but may be credited toward tuition.

  • Uniforms and Books: Fees for items already issued, used, or unsealed (e.g., books removed from shrink wrap) cannot be refunded.

  • Medical Exam Fees: Once the service has been rendered by the accredited clinic. 

 

5. Special Circumstances

  • Academy-Initiated Cancellation: If the Academy cancels a course due to insufficient enrollment or regulatory changes, students are entitled to a 100% refund of all fees paid or a full credit transfer to another term.

  • Justifiable Reasons: For withdrawals due to serious medical conditions or force majeure, the Academy may, at its discretion, provide a pro-rated refund even after the standard deadlines.

  • Disciplinary Action: Students dropped or expelled for disciplinary reasons are not eligible for any refund. 

6. Refund Procedure

  • Submit Request: Complete the Official Withdrawal Form at the Registrar’s Office.

  • Clearance: Secure signatures from the Accounting, Library, and Department heads to ensure no outstanding liabilities (e.g., unreturned equipment).

  • Processing Time: Approved refunds are typically processed within 15 to 30 days from the date of official clearance.
